Who we are
Servadot is based in Houston, Texas. This policy explains how we handle personal information on our website, in our AI assistant, and when you contact us or use our services. For privacy questions or requests, email info@servadot.com.
Information we receive
When you chat with our assistant or contact us, we receive the information you provide. This may include your name, email address, phone number, business information, messages, enquiry details, callback preferences, and documents you choose to submit. We also keep assistant replies and conversation records so that a conversation can continue and our team can address questions or service issues.
Our systems collect basic technical information needed to operate and secure the service, such as session identifiers, timestamps, browser and device information, usage counts, and security logs. Browser storage or cookies may remember your session and conversation. You can restrict them in your browser, but the assistant may then lose continuity or some features may not work.
How we use information
We use information to answer questions, provide the assistant, respond to enquiries and callback requests, deliver and support services, manage accounts, review service quality, prepare usage and performance reports, prevent misuse, and meet legal obligations. If you ask for a callback, we use your contact details for that request. We do not treat a callback request as permission to send unrelated marketing.
AI and information sharing
Our assistant is powered by an AI provider. To generate a reply, we may send the provider relevant parts of your message and approved business information. We currently use OpenAI for this purpose. We may also use hosting, database, authentication, file-storage and email providers to operate the service. Authorized Servadot staff can access information needed for their work.
If you use an assistant we operate for another business, that business can receive the conversation, enquiry or callback information submitted to it. Information may also go to a connected service when you request an action that needs that service. We may disclose information if required by law or reasonably necessary to protect the service or the people using it.
Please avoid entering passwords, full payment card numbers, medical records or other sensitive information into chat unless it is needed for a specifically agreed service designed to handle it.
Client assistants and documents
For an assistant operated on behalf of a client, the client decides what information it asks for and how it will use that information. The client’s privacy notice may also apply. A client using a self-hosted assistant generally controls its own hosting and records. Contact the client first about information you provided to its assistant; we can help the client respond where appropriate.
Authorized users may upload documents to supply approved knowledge or to make selected files available for download. The business that supplies a document is responsible for having permission to use it and for choosing whether it should be public. A downloaded copy remains with its recipient even if the link is later removed.
Retention and protection
We keep personal information only as long as reasonably needed for the purposes described here, including responding to requests, operating the service, keeping business records, security, and legal requirements. Ending a chat or clearing browser storage does not automatically delete records held on our systems. You can request deletion by emailing us; some information may need to be retained when the law or an ongoing service requires it.
We use reasonable safeguards and limit access to people who need the information to do their work. No online system can be guaranteed completely secure. Our service providers may process information in other locations, subject to the protections required by applicable law.
Your rights and choices
Email info@servadot.com if you want to ask what personal information we hold about you, request a correction or deletion, or raise a privacy concern. We may need to verify your identity. Privacy rights vary by location, and we will respond as applicable law requires. If you disagree with our response, you can write to the same address and ask us to review it.
Children changes and contact
Our website is intended for business users and is not directed to children under 13. If you believe a child has given us personal information, please email us.
We may revise this policy as our services change. We will post the updated policy with a new effective date and give additional notice when required.
